What Is a Hiring Roadshow? A Guide for Employers
If filling roles – whether seasonal, high volume, or specialized – has become more challenging, you’re not alone. Employers across industries are exploring new ways to stay competitive.
One of the most effective? Hiring roadshows.
An international hiring roadshow gives you direct access to pre-screened candidates abroad, often allowing you to interview and secure a workforce in just a few days. These events are often part of U.S. Department of State's BridgeUSA programs, which enable employers to hire international participants for temporary work and cultural exchange opportunities in the United States.
For employers new to hiring international workers, roadshows offer a structured, guided way to get started – without the guesswork.
Here’s what you need to know.
What Is a Hiring Roadshow?
A hiring roadshow is an organized, in-person international recruitment event where employers travel abroad to interview candidates across multiple countries. (These events are common for BridgeUSA programs like Summer Work Travel, Camp Counselor, and Intern and Trainee.) They’re coordinated by J-1 visa sponsors who manage logistics, sourcing, and compliance.
“A roadshow is an opportunity for our host employer clients to go abroad with us, meet candidates face to face, and hire them on the spot,” said Cady Koenigs, senior manager of events and travel for CIEE BridgeUSA. “Each country stop has a high-volume hiring event that allows employers to hire up to 1,000 participants in a roadshow, if needed.”
In short, they bring qualified candidates and employers together in one place.
A typical international hiring roadshow includes:
- Pre-screened candidates matched to your roles
- Scheduled, in-person interviews over several days
- On-the-spot hiring decisions
For employers participating in BridgeUSA hiring, this structure simplifies what can otherwise feel like a complex process.
Why Do Employers Attend Hiring Roadshows?
Employers attend international hiring events because they deliver fast, reliable results.
Key benefits include:
- Speed: Interview dozens of candidates in days, not weeks
- Quality: Improve fit and retention with pre-screened, motivated applicants
- Face-to-face insight: Assess soft skills and cultural fit
- Workforce stability: Fill positions well before your busiest season
- Guided entry point: Work closely with your sponsor for first-time international hiring
“Employers turn to roadshows so they can see the applicants in person and get a feel for them,” Koenigs said. “It secures buy-in from the participants from the beginning because they are associating a face with the business. And the cultural experience is a huge plus, allowing host employers to experience the culture of these participants firsthand.”
Many employers return year after year because of the consistency these events provide.
How a Hiring Roadshow Works
While formats can vary slightly by sponsor organization, most international hiring roadshows follow a similar structure.
Here's what the experience looks like when working with CIEE: Council on International Educational Exchange, the oldest and largest State Department-designated J-1 visa sponsor, which supports more than 4,000 U.S. employers each year.
1. Strategic Planning
- Employer shares hiring needs – like roles, numbers, and timing – 3 months in advance
- CIEE determines whether hiring needs align with roadshow participation requirements
- If so, CIEE recommends the best hiring roadshow location and structure
- CIEE handles program setup, scheduling, and logistics coordination
Not every employer is the right fit for every hiring roadshow. Participation is often based on hiring volume, with employers needing to hire at least 25 participants per stop. During the planning process, CIEE helps determine whether a roadshow is the best option and can recommend other recruiting solutions when needed.
2. Candidate Sourcing and Screening
- CIEE’s in-country international representatives recruit, screen, and vet candidates based on employer criteria
- Shortlisted, pre-qualified candidate profiles are delivered ready for employer review
- Interview schedules are pre-built to maximize employer time
3. Travel and Interview Event
- CIEE arranges the hiring event, venue, and interview logistics
- Depending on the program and roadshow, CIEE may cover costs such as international travel (including one checked bag when possible), accommodations, select meals, local transportation, and cultural excursions
- Employers simply attend and participate in structured, pre-scheduled interviews
- CIEE provides on-site support provided throughout the event
4. Interviews and Hiring Decisions
- Employers conduct efficient, in-person interviews
- Pre-screened candidates help employers make faster, more confident hiring decisions
- Offers can be extended on the spot with CIEE guidance
5. Post-Event Processing
- CIEE oversees all documentation and visa processing steps
- Ongoing communication with candidates and employer
- Support with participant paperwork, pre-arrival requirements, and onboarding preparation
6. Arrival and Program Launch
- Workers arrive fully prepared to begin their BridgeUSA program
- CIEE provides arrival support and continued program oversight
- Employer receives ready-to-work participants with minimal administrative burden
Can't Travel? Virtual Hiring Roadshows Offer Another Option
While many hiring roadshows take place in person, employers can also participate in virtual hiring roadshows.
A virtual hiring roadshow allows employers to meet and interview pre-screened international candidates online rather than traveling abroad. Employers still get access to qualified candidates, organized interview schedules, and support from CIEE throughout the process.
Virtual roadshows can be a good fit for employers who:
- Have limited travel budgets
- Need more flexibility in their hiring process
- Are new to international hiring
- Want to connect with candidates from multiple locations
While in-person roadshows offer face-to-face interaction, virtual roadshows can still help employers make confident hiring decisions and build a strong international workforce.
Whether you choose a virtual or in-person roadshow, CIEE can help you find the approach that best fits your hiring needs.
Why Timing Matters
Timing plays a key role in international hiring success.
- Attending a hiring roadshow early helps you:
- Access a larger candidate pool
- Secure top candidates before demand increases
- Allow more time for processing and onboarding
“The more time that employers give us with their open roles, the more time our international agents have to market the jobs in their country,” Koenigs said. “So if you’re going to Thailand in early November, but employers don’t get us their hiring plan until mid-October, the agents don’t have much time to put their jobs out there, get the participants interested, and allow them to make travel arrangements to get to the hiring event.”
Plus, availability by country can shift throughout the year, so early planning gives you more options.
How CIEE Makes Hiring Roadshows Easier
CIEE isn’t just coordinating logistics. It reduces the workload and risk for employers at every stage of the process.
“Employers trust CIEE because we handle all of the details,” Koenigs said. “And we work with our international agents to make sure we’re staying in safe and accessible locations.”
Here’s what that means for you:
- Less time spent recruiting: CIEE sources, vets, and schedules candidates so you meet only qualified applicants.
- Simplified logistics: Travel planning, interview schedules, and event coordination are handled for you.
- Faster hiring decisions: Pre-screened candidates and structured interviews help you hire efficiently on site.
- Reduced administrative burden: Visa processing, documentation, and compliance are managed by the CIEE team.
- Reduced travel planning: CIEE coordinates many of the logistics involved in attending a roadshow, helping employers focus on interviewing candidates rather than managing travel details.
- Confidence at every step: With guidance before, during, and after the roadshow, you're never navigating the process alone.
For Koenigs, roadshows are successful because they're collaborative.
“It's a really amazing experience for all parties involved,” she said. “The students, the international representatives, the hosts, and CIEE are all working together, and it's a really nice collaboration.”
And for first-time host employers, this support structure with a J-1 visa sponsor makes international hiring accessible and repeatable.
“I'll be reaching out to first-time host employers earlier to give them an overview of what the roadshow is,” Koenigs said. “This will allow them to understand the timeline and how the process works. I would like to give them an introduction from the get-go so they know what to expect and feel confident throughout the process.”
Take the Guesswork Out of International Hiring
